  • Business casual attire for office staffThe Elizabeth Hospice is seeking an experienced payroll specialist who will be responsible for the timely and accurate processing of payroll within the organization. The role requires experience in alternative workweek schedules, shift differentials, and weighted overtime, with a strong knowledge and understanding of California Wage and Hour laws. Duties of the position include; auditing time cards for accuracy prior to inclusion into the payroll system, analyzing and resolving any payroll discrepancies in a timely and effective manner, managing the payroll workflow to maximize efficiency, and providing ongoing assistance with questions relating to payroll policies, earnings, and deductions. The payroll specialist will also generate and maintain all required payroll reports and will assist in the development and dissemination of other reports and calculations as necessary for use in organizational benchmarking and forecasting. The ideal candidate will possess a strong focus to details and will be able to handle multiple tasks and interruptions while still maintaining that focus.JOB DUTIES/KNOWLEDGE/JOB PERFORMANCE:
    • Ensures proper payment of wages and salaries by using the current payroll system to correctly process earnings and hours worked, including paid time off, holidays, overtime, shift differentials and alternative workweek schedules within the required timeline.
    • Process all payroll adjustments and special pay events, such as garnishments, PTO Sellbacks, taxable fringe benefits, lunch penalties, termination checks, on call/call back hours, service awards and bonuses; ensuring appropriate tax withholdings and weighted overtime rules are applied.
    • Audits employee timecards, ensuring accurate punches have been recorded, records are in line with applicable payroll policies, and supervisor approvals have been received.
    • Ensures accurate and timely processing of updates to the current payroll system, including changes to payrates, leave accrual rates, cost centers, allocation, titles, supervisors and new hires or terminations; verifying all applicable permissions have been updated.
    • Tracks and verifies availability of leave balances, including PTO, Kin Care, Jury Duty, School Activity, Birthday, Bereavement and FMLA/CFRA leaves of absence. Establishes tracking system for each of the above if none is available in the current payroll system and provides reports as needed to HR and supervisory personnel.
    • Provides ongoing assistance with questions relating to payroll policies, earnings, deductions, withholdings and timecard entries.
    • Participates in the development of reports and calculations for use in organizational benchmarking and forecasting.
    • Generates all required payroll related reports on a biweekly, quarterly and annual basis, ensuring information is disseminated to the appropriate recipients and all record retention requirements are adhered to. Reports include, but are not limited to, timecards/hours worked, payroll register, workers compensation wages, quarterly and annual state and federal taxes.
    • Reconciles and prepares payment requests for biweekly 401(k) loans, contributions, employer match and HSA deferrals in accordance with timely remittance requirements. Performs periodic audits to ensure contributions do not exceed elected or regulatory limits.
    • Calculates and processes biweekly PTO usage for all employee elected disability wage integrations and benefit premiums.
    • Conducts timecard training for all newly hired employees and managers. Conducts initial paperwork retrieval from new hires including completion of the I-9
    • Identifies timekeeping/payroll related training opportunities, creates and delivers training to employees and leaders as needed.
    • Takes lead on payroll projects and assists on HR projectsas assigned.
    • Maintains proper internal controls as documented by the agencys internal control policies and procedures.
    • Audits the DMV Pull Program and reports findings to HR Business Partner for review.
    • Assists with auditing WC codes quarterly and shares recommended changes.
    • Assists the Finance department with annual audits, i.e. financial and 401(k) plans.
    • Assists HRIS Specialist with other duties as assigned.
    • Responsible for various administrative duties, such as agency birthday calendar, contributor to agencys newsletter on payroll items, etc.
    • Conducts all verification of employment requests.
    • Other duties as requested or assigned.
      • High school diploma and three (3) to five (5) years experience in a computerized payroll position. Some college courses in accounting or related field preferred.
      • Requires maturity and experience to interface with all levels of management and personnel.
      • Ability to use judgment to prioritize tasks, problem solve, and accomplish tasks.
